1. Who we are

Make Living Memories (“we,” “us,” or “the Platform”) operates makelivingmemories.com. We provide a private family memory platform that lets creators preserve memories and lets family members interact with an AI avatar grounded in those memories.

2. What we collect

• Account information — name, email address, password (hashed), country, date of birth (optional), preferred language.
• Memory content — text stories, audio recordings, photographs, and documents you upload.
• Conversation data — messages exchanged between family members and the AI avatar.
• Usage data — approved product events, page paths without query strings, and timestamps. Product analytics do not use tracking cookies or store IP addresses, device identifiers, memory content, or recordings. Separate security and audit logs may include an IP address where needed to prevent abuse.
• Billing data — processed by our payment provider; we never store full card numbers.

3. How we use your data

• To create and maintain your account.
• To process, store, and index your memories so the AI avatar can respond accurately.
• To transcribe audio recordings using OpenAI Whisper.
• To generate AI avatar responses using OpenAI language models, grounded only in creator-approved memories.
• To send transactional emails (verification, password reset, family invitations).
• To improve the platform and fix bugs.

4. AI processing disclosure

Your memory content is processed by third-party AI services (currently OpenAI) for transcription, embedding, and conversation. We send only the minimum data required. Memories are embedded and stored in a private vector database unique to each creator. The AI avatar is designed to respond only from approved memories, but it may sometimes be incomplete or mistaken.

We do not use your data to train AI models. Our AI providers' data processing agreements prohibit them from using API inputs for training.

5. Who can access your data

• Creators control all their own memories, including sensitivity levels and access permissions.
• Family members can only interact with approved memories via the AI avatar, within the access level set by the creator.
• Platform administrators may access data only for support, abuse prevention, or legal compliance.
• We do not sell, rent, or share your personal data with third parties for marketing purposes.

6. Data storage and security

Your data is stored on secure cloud infrastructure with encryption at rest and in transit. Passwords are hashed with bcrypt. Authentication uses signed JWT tokens. File uploads are stored in encrypted cloud object storage.

7. Data retention and deletion

We retain your data for as long as your account is active. You can delete your account and all associated data yourself at any time from your Account & data page, or by contacting us. Deletion is permanent and removes your personal data, memories, uploaded media, and conversation history. Some anonymised audit logs may be retained for security purposes. Product analytics are retained for up to 180 days and analytics linked to your account are removed when the account is deleted.

8. Your rights

Depending on your jurisdiction, you may have the right to:

• Access a copy of your personal data.
• Correct inaccurate data.
• Request deletion of your data.
• Object to or restrict certain processing.
• Export your data in a portable format.
• Withdraw consent at any time.

9. Children's privacy

Our platform is not directed at children under 13. Family members under 18 may use the platform only with parental or guardian consent, and the creator must enable guardian mode for those accounts.

10. Changes to this policy

We may update this privacy policy from time to time. We will notify registered users of material changes via email. The “last updated” date at the top reflects the most recent revision.
